ADMINISTRATIVE COORDINATOR

POSITION PURPOSE 

Here at Beaudry Interactive our work is mainly project-based. We conceive, design and develop unique location-based experiences for theme parks and attractions, cultural centers, and educational institutions. We also collaborate with other companies while providing our technical expertise and know-how. Our creative and technical projects can be of varying scale and complexity, often running in parallel, many projects requiring tight coordination with our clients, collaborators and freelancers.  

 

We are looking for a full-time or part-time Administrative Coordinator. Duties will include administrative tasks, such as assistance with the daily management of the studio, as well as support of the Company Principals with operational and administrative tasks. Applicant must be motivated, proactive, highly organized, professional, able to deal with ambiguity and to work in a flexible environment.  

 

ESSENTIAL RESPONSIBILITIES

Assist b/i Principals: 

  • Organize, coordinate, and manage Principals’ schedules; 

  • Assist in all meetings preparation and meetings note-taking;  

  • Assist with preparation, editing, and maintenance of a wide range of documents, including presentations, pitches, meeting notes, reports, and correspondence with 100% accuracy. This includes communication and correspondence that may be of complex and confidential nature; 

  • Assist in follow-up of emails and calls; ability to exercise the utmost discretion on all matters; 

  • Organize, coordinate, and manage Principals’ business travel; 

  • Manage Principals’ expense reports. 

 

Daily Management of b/i studio: 

  • Manage daily activities of b/i studio (calls, reception, mail and deliveries); 

  • Manage studio maintenance vendors and ensure tidiness of b/i facility, including front studio, workshop and areas that connect these main workspaces;  

  • Support b/i personnel with organizing business trips, special projects and meetings; 

  • Participate in the development, maintenance, and updating of the archiving and filing system; 

  • All other related administrative tasks. 

 

REQUIREMENTS 

  • 2 to 4 years of experience as a coordinator in culture, entertainment, technology startups, multimedia production or any related field; 

  • Experience in the design and production of live and multimedia environments, events, production or post-production is an asset; 

  • Enthusiastic self-taught or formally trained individual with knowledge of management, administration, design, and multimedia; 

  • Advanced knowledge of English, both written and spoken; 

  • Telephone skills and excellent verbal communication; 

  • Knowledge of all basic office equipment required; 

  • Professionalism and a sharp customer focus; 

  • Excellent computer skills and strong proficiency in MS Office software (Word, Excel, etc.) and other communication tools; 

  • Knowledge of Keynote an asset; 

  • Computer technical knowledge is helpful; 

  • Understanding of logistics specific to technical and multimedia productions.
